Fit to Participate
You must inform us of any existing medical conditions for anyone attending classes. For some conditions, a doctor’s note will be required before commencing classes. It is your responsibility to inform Gym Bubbas of any changes to personal information (e.g. address, telephone number, Medical conditions including pregnancy etc). All information will be kept strictly confidential. By attending Gym Bubbas sessions, other than medical conditions specified on the registration form, you confirm that your child is physically fit and healthy, and you will undertake to advise us of any change. You give consent that in the event of any illness/accident any necessary treatment can be administered. You declare that you are aware of the element of risk involved and while you accept that the instructors will take precautions to prevent accidents, you understand that they may not be held responsible for loss, damage or injury to your child.
Data
All personal details will only be held and used by Gym Bubbas and will not be passed on to a third person. Personal information is stored via our database EzFacility who secure data in line with relevant legislation. Payments made via our online system are handled by merchant services, Paysafe. Details are held and secured by Paysafe in accordance with current legislation.
By registering you agree to receive emails form Gym Bubbas, if you prefer not to receive updates please opt out at any time by replying STOP to our correspondence.
Term Dates
Terms run throughout the year, with regular breaks that fall in line with school holidays, Bank Holidays, Christmas and Easter (unless otherwise stated in our published term dates) Term dates are available on our website (www.gymbubbas.co.uk) or upon request. During the second half of each term, we issue details for the following term and run a specific week to rebook (priority enrolment). If you do not confirm your place by the date stated, you risk losing your space in the class to a person on our waiting list.
Payments
We accept payment via cash, debit, or credit card. We do not accept American Express or cheques.
Places for each term are not be confirmed until payment is received. Fees are paid termly and are due in full before the beginning of term.
Please note siblings receive a 10% discount off the price of the term. This discount is at the discretion of Gym Bubbas and can be amended term by term.
Refunds
In the unlikely event that you need to cancel or cannot attend a term of classes once the course fee or a deposit is paid, there will be a £35.00 cancellation charge. Please note, on an individual class basis you can cancel and make up any classes that you cannot attend (please see cancellation and makeup policy section). If a class is cancelled by Gym Bubbas an alternative class for that class will be offered.
Changing Class Times
If a class becomes too small to function, we may need to merge it with another. We will give you as much notice as possible in the event of any changes. Should a class already in progress or about to start and need to be cleared due to a fire alarm, Gym Bubbas is under no obligation to refund the whole or part of the lesson. Gym Bubbas is under no obligation to refund lessons that may be missed due to local adverse weather or road traffic conditions when the venue is accessible and lessons are held, but you are unable to attend.
Cancellation and Makeup Policy
You can cancel and arrange a makeup session, subject to availability, in the same term that the tuition is paid. In order to cancel and make up a class, you must cancel via email, phone, online or via our mobile app no later than 5 hours before the scheduled start of the class (the notice period is at the discretion of Gym Bubbas and can be amended term by term). Any sessions not cancelled before this time will be missed and no refund or makeup class will be given. Makeup classes must be taken in the same term as the cancelled classes. No refund will be given for any classes not redeemed by the end of the term.
Parking
Vehicles are parked at your own risk. Gym Bubbas accepts no liability for any accidents, damage or loss while using the parking areas.
Gym Rules
Please ensure you read, understand, and talk to your children about the gym rules located on the gym wall.
Valuables and Jewellery
All property left in the venue is at your own risk. Gym Bubbas does not accept any responsibility for the loss or damage of any personal possessions. Adults and children are required to remove any jewellery prior to class. Stud earrings must be removed or taped.
Class Attire
Children must attend classes in clothes that allow movement. Shorts/leggings and t-shirt or leotard is required. If a child is wearing a t-shirt it should be tucked into shorts/leggings. Please do not bring children in dresses/skirts, jeans, and clothing with fastenings such as zips, buckles and buttons etc. Instructors reserve the right to turn children away from a class if they are dressed inappropriately. Children must have bare feet; adults are requested to remove their shoes and to wear loose and comfortable attire.
Hair longer than shoulder length must always be tied back.
Gym Etiquette
Whilst you are waiting for your class noise must be kept to a minimum. Do not enter the gym area or allow your children to play on the equipment until your instructor invites you to do so. Adults are requested not to talk over the instructor during a class. For independent class we kindly ask that parents do not interrupt and coach their children during class over the divide, this proves very disruptive to the children’s learning. Please ensure that you are punctual to each session in order not to miss the warmup section.
Both large apparatus and hand equipment are cleaned on a regular basis. However, for hygiene reasons please discourage children from putting toys and equipment into their mouths.
Ensure children have been to the toilet and had a drink before class.
No food is allowed in the gym area. A closed drinks bottle may be brought into classes and placed in the drinks box. Children should only consume their drink by the dividing gym/foyer wall.
The dividing gym/foyer wall must be kept clear at all times.
Tea and coffee are available at the gym. To allow us to keep offering this service parents are asked to make a £1.00 donation in the honesty pot. Gym Bubbas reserves the right to remove tea and coffee making facilities if costs are not covered by the use of the honesty pot.
Smoking is not permitted inside or outside the building.
Classes for children under 4 years must have an adult present. You are responsible for the safe supervision of any children you bring to the gym at all times. They should be under direct supervision and not be left unattended at any time. Classes for children aged 4 years and over may be left at the gym for the duration of the class. You must not leave until the class has begun and arrive 5 minutes before the end to collect your child. Any children being left at class bust be capable of taking themselves to the toilet.
Parent and child classes can be very physical for both children and adults. Adults will be required to assist younger children (e.g. lifting) during every class. We advise parents not to use the air track if they are pregnant or have any injuries. Please note all adults participate in classes at their own risk. Siblings are not permitted to participate in any class unless they are enrolled in that class.
Please avoid bringing buggies to the gym due to storage. Baby car seats are permitted on the side of the gym area.
All gangways must be left clear of obstructions.
Please remove all nappies from the gym for disposal at home.
Behaviour
While we strive for and attain high standards of behaviour at Gym Bubbas, we realise that there may be incidents when our behaviour policy will need to be implemented. The policy is as follows:-
- Instructor/parent will issue a warning for behaviour to the child.
- The child will be asked to have time out in the gym.
- The child will be asked to have a time out in the foyer with their parent.
- The child will be required to leave the gym for the remainder of the class.
- The child’s behaviour will be monitored over several weeks.
- If the behaviour has not improved the child will be asked to take a break from the programme.
At each of the 6 stages, the instructor will work closely with parents to ensure the behaviour improves and the child can continue to enjoy classes with us.
Illness
If your child is unwell please do not bring them to class. Gym Bubbas follows advice from governing authorities on illness and reserves the right to refuse admission to classes for children who are unwell.
Video and Photography
Family members and friends may take photographs or video footage; we just ask that everyone remains sensitive to the feelings of others in the class and stops filming if requested. Photos containing images of any child apart from your own should not be placed on social media platforms (please refer to our social media policy). In all cases the decision of Gym Bubbas staff is final.
Gym Bubbas forbids the right to reproduce any part of our lessons in any form. Anyone suspected of continually filming or photographing lessons for publication will be asked to stop filming and leave the course.
All Gym Bubbas logos, photography and illustrations are copyright of Gym Bubbas.
Occasionally Gym Bubbas will take photographs or video in classes, parents will be informed prior to class, that will be used for marketing purposes by Gym Bubbas only. Withdrawal of service
Gym Bubbas, may at its own discretion, refuse entry to its classes to a client if it is felt that the client’s behaviour is unreasonable.
Exclusion of Liability
In the absence of any proven negligence, lack of due diligence or breach of duty by Gym Bubbas, the participation of you or whoever you have placed in loco parentis with the purposes of attending Gym Bubbas classes, participates so entirely at your or their own risk.
Complaints and Grievances
All complaints must be made in writing to Wayne or Kate Child. Complaints will be dealt with within 1 week of receipt of the complaint.
COVID-19 Terms and Conditions Update
Currently, the contents of the COVID-19 terms and condition supersedes information provided in General Terms and conditions.
Everyone attending the gym must always follow Public Health England’s advice. Anyone experiencing COVID-19 symptoms should not attend classes. If you have had close contact with or are a confirmed case of COVID-19 you must inform Gym Bubbas as soon as possible. By attending classes, you consent to Gym bubbas passing on your contact information to the government’s test and trace system.
Wherever possible you should adhere to and assist children in your care with social distancing. By attending Gym bubbas, you understand that you and the children you bring will come into contact with other adults and children. Gym bubbas cannot be expected to manage complaints around social distancing.
Gym Bubbas have implemented many procedures ensuring the safety of participants in relation to COVID-19, however, every risk cannot be alleviated. Gym bubbas cannot be held responsible, unless proved negligent, if you or anyone in your care contracts COVID-19.
Face coverings must be worn in the foyer, kitchen, and toilet areas at all times. For parent/child sessions face coverings are required during some elements of the class. Instructors will inform you of when face coverings are required. If you are exempt for wearing a face-covering please inform a member of the team and display your exemption card.
You are requested to only arrive 5 minutes before the start of your class and leave promptly after the session, to minimise the number of people in the building at any time. For each child attending class only one parent per child is allowed. If your child attends an independent class and is toilet trained, you are encouraged to ‘drop and go’. Instructors are not responsible for children until their session has started. You must arrive 5 minutes prior to the end of the session. Class instructors will ensure no child leaves the building until you or a designated adult collects them. You are requested to not bring siblings to sessions unless absolutely necessary.
It is your responsibility to ensure your contact and emergency contact details are up to date.
Everyone attending class is requested to attend in freshly laundered clothes and must come dressed for the session (leotards, shorts, tracksuit bottoms, T-shirt etc). Lost property can no longer be kept at the gym. Please ensure all personal belongings are taken home with you at the end of your session, as any items left with be destroyed. Gym bubbas do not accept any responsibility for the loss or damage to personal possessions.
The cancellation and make up of sessions will still be available as dictated in our Terms and conditions, however, you are requested to keep these to an absolute minimum. In the event of a local lockdown/sector lockdown class, all accounts will be put on hold to resume on re-opening.
